HubSpot is constantly pushing updates to revitalize its user experience. This summer, its workflow capabilities were optimized to improve readability, functionality, and simplicity. Take a look at the newest functions available for the HubSpot workflow tool.
If/Then Branching Enhancements
If/then branches in workflows are extremely popular due to their dynamic capabilities. You can simply select the criteria for your branch, much like enrollment trigger criteria, to break down into multiple conditions and actions. In the past, workflows with if/then conditions could get cluttered, messy, and repetitive, depending on how many segments you needed to create. HubSpot’s latest update simplifies the execution of this popular process, making it easier to build and navigate.
HubSpot’s newest if/then branching enhancements simplify both the workflow building process and the visualization of the end result. With the added ability to add multiple “YES” branches from a single node, which can be easily named and organized, less repetition is necessary to achieve all necessary branches of your workflow.
Let’s say you have a large sales team with multiple managers. Your managers would like to be notified when a deal is moved forward to a certain stage. Additionally, they’d like the option to rope in their service team if needed. Utilizing the if/then branch enhancements, a workflow of this nature could start with a single if/then node to evaluate for each sales representative, then break down further to check if a service team is needed for the deal stage.
Overall, this update reduces the visual complexity of if/then nodes while introducing organizational enhancements. If you’ve implemented if/then conditions in past workflows, this is a great time to go back and modify them using the new functions. It’s always a good practice to revisit your workflows periodically and ensure that they are continuously aligning with your business processes.
Go-to Other Action
Before the recent update, a forked workflow would require either a secondary workflow to “merge” prospect pathing or the manual duplication of actions in each distinct branch. For example, if you wanted unengaged and engaged contacts to receive the same prospecting email but at different cadences, you might create separate branches with different paths that ultimately conclude at the same end action.
Instead of splitting a workflow into multiple pieces, duplicating elements, or over-complicating its structure, a go-to action enables complex movement within the same workflow or branch. Go-to actions allow for workflow forking and merging, bypassing the need for additional workflows or duplicate actions.
As with the if/then branch enhancement, this update makes granular workflows easier to set up, troubleshoot, read, and exchange with other team members.
Workflow Folders
In the past, HubSpot’s workflow menu was a running master list of all workflows, which could be filtered by mode (active, draft, etc.) or creator. While the search functionality was comprehensive, it did not allow for permanent organization. With workflow folders, you can now sort and organize by type, functionality, etc. into easy-to-navigate folders. This update follows in the footsteps of the aforementioned features, intending to simplify navigation and comprehension.
